This Privacy Policy applies to the ParrotPrep website and application at https://www.parrotprep.ai and all related services (the “Service”). By using the Service, you accept this Privacy Policy and our Terms of Service.

The Service helps users practice interview skills, manage job applications, build resumes, track professional contacts, and manage career documents — all powered by AI.

2.1 Account Information. When you register, we collect your name, email address, and authentication credentials (managed via Clerk). You may also provide optional profile information such as job title, career stage, location, employer, and educational background.

2.2 Career Data. As you use the Service, you may provide: resume content and uploaded resume files; job application details (company, role, status, notes); professional contact information; career goals and job preferences; work history, education, and skills.

2.3 Voice and Interview Data. When you use AI-powered interview practice, we collect audio recordings and transcripts of your sessions. These are processed to generate feedback and insights.

2.4 Usage and Analytics Data. We automatically collect data about how you use the Service, including pages visited, features used, session duration, referring URL, browser type, and device information. This is collected via cookies and analytics tools.

2.5 Files and Documents. Files you upload (resumes, cover letters, supporting documents) are stored securely in our cloud infrastructure.

2.6 Communications. If you contact us for support, we retain those communications to assist you and improve the Service.

We use the information we collect to:

• Provide and operate the Service
• Generate AI-powered insights, feedback, and recommendations (e.g., interview analysis, resume feedback, job match scoring)
• Improve and personalize your experience
• Send transactional communications (account updates, security notices)
• Send product updates and promotional content (opt-out anytime)
• Diagnose bugs, monitor performance, and prevent abuse
• Comply with legal obligations

We do not sell your personal information to third parties for their marketing purposes.

We share data with trusted third-party providers who process it on our behalf to operate the Service:

• Clerk — user authentication and account management
• Neon (PostgreSQL) — primary database hosting
• AWS S3 — secure file storage for uploaded documents and resumes
• OpenAI — AI language models for interview feedback, resume analysis, and job matching
• Deepgram — audio transcription for interview sessions
• Hume AI — voice and emotional intelligence analysis for interview practice
• PostHog — product analytics and error tracking (behavioral usage data)
• Redis (Upstash) — performance caching
• Trigger.dev — background job processing (resume parsing, skill extraction)

Each provider is bound by data processing agreements and their own privacy policies. We only grant them access to data necessary for their specific function.

We may also disclose information when required by law, court order, or to protect the rights, property, or safety of our users or the public.

Core features of the Service rely on AI processing your data. This includes analyzing interview audio, resume content, job descriptions, and career goals to generate personalized feedback and recommendations. By using these features, you consent to your data being transmitted to and processed by the AI providers listed in Section 4.

AI-generated outputs are informational and should not be relied upon as professional career, legal, or financial advice.

We use cookies and similar technologies to maintain login sessions, remember your preferences, and collect usage analytics. You can control cookies through your browser settings. Disabling cookies may affect Service functionality.

Our analytics provider (PostHog) collects behavioral usage data to help us understand how features are used and where issues occur. This data is pseudonymous and used solely for improving the Service.

We retain your data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete your personal data within a reasonable period, except where retention is required for legal compliance.

Interview recordings and transcripts may be retained for a limited period to generate and display your historical feedback, after which they are deleted.

The Service is not directed to individuals under 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected such data, we will delete it promptly. Contact us at support@parrotprep.ai if you believe we have collected data from a minor.

You have the right to:

• Access the personal data we hold about you
• Correct inaccurate data (directly via account settings or by contacting us)
• Delete your account and associated personal data

California residents may have additional rights under the CCPA, including the right to know, delete, and opt out of sale of personal information. We do not sell personal information.

We use industry-standard security measures including encryption in transit (TLS), encrypted storage, and access controls to protect your data. However, no method of transmission or storage is 100% secure. By using the Service, you accept this inherent risk.

In the event of a merger, acquisition, or sale of assets, your personal data may be transferred as part of that transaction. We will notify you via email or a prominent notice on the Service before your data becomes subject to a different privacy policy.
